Bushnell Commons LLC ("Bushnell Commons," "we," "us," or "our") respects the privacy of our members, applicants, guests, website visitors, and other individuals who interact with our services.
This Privacy Policy explains how Bushnell Commons LLC collects, uses, discloses, stores, and otherwise processes personal information when you interact with Bushnell Commons, including through our website, BC Connect member portal, membership and Private Office application processes, membership agreements and electronic signatures, meeting-room reservations, BC Print services, communications, billing and payment systems, events, physical workspace, and related services.
For purposes of this Privacy Policy, references to "Bushnell Commons," "we," "us," and "our" refer to Bushnell Commons LLC unless otherwise stated.
By using our website, creating an account, submitting an application, purchasing or maintaining a membership, reserving a space, using BC Connect or BC Print, or otherwise interacting with Bushnell Commons, you acknowledge the practices described in this Privacy Policy.
1. Scope of This Policy
This Privacy Policy applies to personal information collected through or in connection with the Bushnell Commons website; BC Connect; membership applications and enrollment; Private Office applications and waitlists; membership agreements and electronic signatures; membership renewals and plan changes; billing and payment administration; invoices, receipts, credits, and account balances; meeting-room reservations; BC Print; support requests and member communications; tours and inquiries; referrals; administrative interactions; events and community activities; use of Bushnell Commons facilities; and other services operated by or on behalf of Bushnell Commons.
Third-party websites, payment processors, applications, and services may maintain their own privacy policies. Their privacy practices are governed by their respective policies when information is processed independently by those providers.
2. Information We Collect
The information we collect depends on how you interact with Bushnell Commons.
Identity and Contact Information. We may collect full name, business or organization name, email address, telephone number, mailing or billing address, account identifiers, username or account information, membership number or internal account number, and other contact information you provide.
Membership Information. We may collect and maintain selected membership plan, membership start and end dates, membership status, membership pricing, historical or grandfathered pricing, membership benefits and allowances, renewal information, plan-change history, membership agreement information, account status, included printing allowances, included meeting-room allowances, and administrative notes reasonably necessary to manage the membership. Historical membership information may be retained even if our current membership plans or prices change.
Private Office Applications. Applicants may provide full name, business name, email address, telephone number, desired start date, intended business use, expected number of occupants, application notes, and other information voluntarily submitted. We may maintain whether an application is submitted, under review, approved, denied, waitlisted, withdrawn, or converted into a membership. Submitting a Private Office application does not itself create a paid membership or guarantee availability.
Agreements and Electronic Signatures. We may collect typed legal name, electronic or drawn signature, date and time of signature, agreement version and number, applicable membership, membership price reflected in the agreement, term dates, agreement viewing information, renewal status, electronic signature records, technical information associated with execution, device information, IP address when collected by the applicable system, and copies or snapshots of the agreement as it existed when signed. Signed agreements may be retained as historical business and legal records even if the template later changes.
Payment and Billing Information. Information may include amount charged, invoice information, payment status, transaction identifiers, payment date, payment method type, refunds, credits, outstanding balances, and billing history. Electronic payment information may be processed by third-party payment providers. Bushnell Commons does not intend to store complete payment-card numbers, card security codes, or online banking credentials within BC Connect when those details are processed directly by an authorized third-party payment provider. We may receive limited information such as payment status, transaction identifiers, payment method type, or identifying details needed to reconcile a transaction.
Meeting-Room and Workspace Reservations. We may collect member or customer identity, room selected, reservation date, start and end time, duration, membership allowance or credit applied, amount charged, payment status, cancellation information, administrative notes, and reservation history.
BC Print Information. We may collect member or account identity, print-job identifier, date and time, number of pages and copies, selected print settings, color or monochrome selection, paper settings, job status, printer status, included-page allowance usage, overage charges, and technical diagnostic information. Documents submitted for printing may temporarily pass through systems necessary to process and transmit the print job. We do not use the contents of member documents for advertising or unrelated marketing purposes. We seek to limit access to print-job documents and related information to what is reasonably necessary to provide, troubleshoot, secure, and administer BC Print.
Communications and Support Information. We may retain emails, support requests, messages, administrative correspondence, notes regarding telephone conversations, follow-up information, communication preferences, and records of important membership or account communications.
Website and Technical Information. Certain technical information may be collected automatically, including IP address, browser type, device type, operating system, pages viewed, referring pages, approximate location derived from IP address, access dates and times, session information, authentication events, error information, security events, and similar technical data. We may use cookies or similar technologies where necessary for authentication, security, preferences, analytics, or operation of our digital services.
Tour, Inquiry, and Lead Information. We may collect name, email address, telephone number, business name, membership interests, desired workspace, desired start date, tour information, communications, and notes reasonably related to responding to an inquiry.
Referral Information. We may maintain information concerning the referring member, referred individual, referral status, eligibility, credits or rewards earned, and related transactions. You should only provide another person's information when you have permission or another lawful basis to do so.
3. How We Use Personal Information
Bushnell Commons may use personal information to create and administer accounts; provide memberships; process Private Office applications; maintain waitlists; determine workspace availability; prepare and administer membership agreements; process electronic signatures; manage renewals; administer grandfathered or historical membership pricing; process payments; generate invoices and receipts; maintain account balances; administer credits and refunds; provide BC Connect; operate BC Print; track printing allowances and overages; manage meeting-room reservations; track membership benefits and allowances; respond to inquiries; schedule tours; provide customer and member support; communicate service or account information; send renewal and agreement notices; maintain records; prevent fraud and abuse; secure our facilities and digital systems; troubleshoot technical issues; enforce our agreements and policies; comply with applicable legal obligations; establish, exercise, or defend legal claims; improve our services and member experience; and operate and administer Bushnell Commons.
We may also use aggregated or de-identified information for business analysis, planning, reporting, and service improvement where the information does not reasonably identify an individual.
4. Communications
We may contact members and applicants regarding account activity; membership status; invoices and payments; agreements; electronic signatures; renewals; upcoming expirations; meeting-room reservations; print jobs; Private Office applications; waitlist status; building or operational notices; security issues; service interruptions; support matters; and other information necessary to provide or administer our services.
Where permitted by law, we may also send information regarding Bushnell Commons services, events, membership opportunities, or promotions. Where required, recipients may unsubscribe from promotional email communications. Transactional, operational, security, billing, or membership-related communications may still be sent when reasonably necessary to administer an account or service.
5. How We Disclose Information
We do not disclose personal information indiscriminately.
Service Providers. We may provide information to vendors and service providers that assist us with website and application hosting, cloud infrastructure, payment processing, electronic signatures, email delivery, file storage, printing, accounting, analytics, security, technical support, and other business operations.
Payment Providers. Payment information may be transmitted directly to third-party payment providers responsible for processing transactions. Their handling of payment information is subject to their own privacy and security practices.
Epson and Printing Infrastructure. Information necessary to execute BC Print jobs may be transmitted to Epson or other infrastructure involved in delivering a print job to the applicable printer. This may include the document being printed and technical information required to process the job.
Legal Requirements. We may disclose information when we reasonably believe disclosure is necessary to comply with applicable law, a subpoena, court order, or lawful governmental request; protect our legal rights; investigate fraud or misuse; protect members or other individuals; address safety or security concerns; or enforce an agreement or policy.
Business Transactions. If Bushnell Commons or substantially all of its operations or assets are involved in a merger, acquisition, financing, restructuring, sale, or similar business transaction, information may be transferred as part of that transaction subject to applicable law.
With Your Direction or Consent. We may disclose information when you request, direct, authorize, or consent to the disclosure.
6. Sale of Personal Information
Bushnell Commons does not intend to operate a business model based on selling members' personal information to data brokers or unrelated third parties for monetary consideration. If our practices materially change, this Privacy Policy will be updated as appropriate.
7. Advertising
We do not use the contents of documents submitted through BC Print for advertising. We do not use signed membership agreements, payment information, or Private Office application details to create advertising profiles unrelated to Bushnell Commons services. If we use advertising, analytics, or marketing technologies on our public website, their operation may involve cookies or similar technologies as described in this Policy.
8. Data Security
Bushnell Commons takes reasonable administrative, technical, and physical measures designed to protect personal information against unauthorized access, destruction, loss, misuse, alteration, or disclosure. These measures may include, as appropriate, account authentication, access controls, role-based permissions, restricted administrative access, secure transmission technologies, third-party payment processing, audit logging, monitoring, backups, software and infrastructure safeguards, and limiting access to information according to operational need.
No electronic system, network, database, or transmission method can be guaranteed to be completely secure. Accordingly, we cannot guarantee absolute security. Members are responsible for protecting their account credentials and should promptly notify Bushnell Commons if they believe their account has been accessed without authorization.
9. Payment Security
Payment-card information submitted through an approved payment provider is intended to be processed through that provider's payment infrastructure rather than stored as complete card information within BC Connect. Bushnell Commons may retain transaction information necessary for accounting, billing, refunds, dispute resolution, reconciliation, and recordkeeping.
10. Data Retention
We retain personal information for as long as reasonably necessary for the purposes for which it was collected and for legitimate operational, accounting, contractual, security, dispute-resolution, and legal purposes. Retention periods may vary depending on the type of information.
For example, active membership information may be retained while the membership remains active; transaction and accounting records may be retained as required for legitimate accounting, tax, and legal purposes; signed agreements may be retained after a membership ends as historical contractual records; agreement versions and signature records may be retained to establish what terms were accepted; invoices, payments, credits, and refunds may be retained as financial records; Private Office applications may be retained for administrative and historical purposes; security and audit records may be retained to investigate incidents and preserve system integrity; and certain backup copies may remain for a limited period after information is removed from active systems.
We may retain information longer when reasonably necessary to comply with law, resolve a dispute, enforce an agreement, prevent fraud, or establish or defend legal rights.
11. Signed Agreements and Historical Records
Because membership agreements create contractual records, a request to update or delete ordinary account information does not necessarily require Bushnell Commons to destroy executed agreements, invoices, transaction records, audit records, or other information that we reasonably need to retain for legal or business purposes.
When an agreement template changes, Bushnell Commons may preserve the version or snapshot that was actually presented to and signed by the member. Renewal agreements may similarly be maintained as separate records from previous agreements.
12. Member Access and Corrections
Members may be able to review certain account information through BC Connect. You may contact Bushnell Commons if you believe personal information associated with your account is inaccurate or needs to be updated. We may take reasonable steps to verify your identity before making changes or providing information. Some information cannot be altered when doing so would compromise the accuracy of historical, financial, contractual, security, or audit records.
13. Requests Regarding Personal Information
Subject to applicable law and legitimate business-record requirements, you may contact Bushnell Commons to request assistance regarding personal information associated with your account. Depending on the circumstances, we may permit you to access certain information, correct inaccurate information, update contact information, request deletion of information that is no longer reasonably necessary, request information about our privacy practices, or change certain communication preferences.
These rights are subject to applicable law and appropriate exceptions. We may retain information when necessary for contractual, financial, tax, security, fraud-prevention, dispute-resolution, legal, or other legitimate purposes. We may require reasonable verification of identity before fulfilling a privacy request.
14. Cookies and Similar Technologies
Our website and digital services may use cookies, local storage, session storage, or similar technologies. These technologies may be used to keep users signed in, maintain sessions, remember preferences, protect account security, prevent fraud, understand website usage, diagnose technical issues, and improve performance.
Browser settings may allow you to restrict certain cookies. Disabling necessary technologies may prevent portions of the website or BC Connect from operating correctly.
15. Third-Party Links and Services
Our website or member portal may contain links to or integrations with third-party websites and services. Bushnell Commons is not responsible for the independent privacy practices of third parties. You should review the privacy policies of third-party services before providing information directly to them.
16. Children's Privacy
Bushnell Commons services are intended primarily for adults and businesses. We do not knowingly solicit personal information from children under 13 through our membership services. If we learn that personal information from a child under 13 has been collected in circumstances requiring parental consent and such consent was not obtained, we will take appropriate steps to address the information.
17. Security Incidents and Data Breaches
If Bushnell Commons discovers a security incident involving personal information, we may investigate the incident, take reasonable measures to contain and remediate it, and provide legally required notifications. Ohio law imposes notification requirements for certain breaches involving personal information when the statutory conditions are met.
18. Physical Facility Privacy
Bushnell Commons is a shared professional environment. Members and guests should not assume that conversations, screens, papers, meetings, or other activities conducted in open or shared areas are private.
Members are responsible for taking reasonable precautions to protect confidential information they bring into the facility, including using private spaces when appropriate, securing devices, retrieving printed documents promptly, and properly disposing of confidential materials.
Bushnell Commons is not responsible for another member or guest viewing or hearing information that a user voluntarily exposes in a shared workspace, except to the extent otherwise required by applicable law.
19. Printing and Confidential Documents
Members are responsible for determining whether BC Print is appropriate for documents containing confidential, proprietary, regulated, or sensitive information. Members should retrieve printed materials promptly.
Bushnell Commons personnel may access technical print-job information when reasonably necessary to troubleshoot failed jobs, investigate billing issues, maintain printing infrastructure, or protect the system. Bushnell Commons does not claim ownership of documents submitted by members for printing.
20. Business and Confidential Information
Members may use Bushnell Commons for their own businesses and professional activities. Information belonging to a member's customers, employees, patients, clients, vendors, or other third parties remains the responsibility of that member.
A member is responsible for determining whether their own collection, storage, discussion, transmission, or printing of third-party information complies with laws, professional obligations, contracts, and industry-specific privacy requirements applicable to that member. Membership at Bushnell Commons does not make Bushnell Commons responsible for a member's independent legal or regulatory compliance.
21. Account Security
Members should maintain a strong password, keep login credentials confidential, avoid sharing accounts, log out of shared devices, secure computers and mobile devices, promptly report suspected unauthorized access, and keep contact information current.
Bushnell Commons may temporarily restrict or suspend account access when reasonably necessary to investigate suspected unauthorized activity or protect the platform.
22. De-Identified and Aggregated Information
We may create aggregated or de-identified information from information collected through our services. We may use such information for business planning, occupancy analysis, service improvement, financial analysis, operational reporting, usage analysis, and other legitimate business purposes. We do not intend to use de-identified information to identify an individual.
23. Changes to This Privacy Policy
Bushnell Commons may update this Privacy Policy periodically to reflect changes in our operations, technology, services, legal obligations, or privacy practices.
When appropriate, we may provide notice through our website, BC Connect, email, an account notification, or another reasonable method. The "Last Updated" date identifies the most recent revision. Material changes will apply prospectively unless applicable law permits or requires otherwise.

25. Ohio Residents
Bushnell Commons is based in Ohio and handles personal information in accordance with applicable Ohio and federal requirements. Ohio law includes requirements concerning certain personal information and notification following qualifying security breaches. Nothing in this Privacy Policy limits rights that cannot lawfully be waived under applicable law.
26. Privacy Commitment
Bushnell Commons believes that operating a professional workspace includes respecting the privacy of the people and businesses that use it.
Our goal is to collect information for legitimate operational purposes, use it responsibly, restrict access appropriately, maintain reasonable safeguards, and avoid unnecessary disclosure.
This Privacy Policy is intended to provide transparency regarding those practices.
